AI can be a great ally in organizing your Gmail inbox and helping you write new messages. You can use Google’s Gemini AI service or explore third-party extensions that work with technologies like ChatGPT.
I have shared some useful tips on incorporating AI into your daily Gmail routine, making tasks easier and more efficient. It’s important to note that some of these options are paid features, available exclusively to subscribers of the Gemini Advanced service, which is offered through Google One Premium’s AI plan or the paid versions of Google Workspace.
1. Summarize and find emails on Google Gemini
The Gemini chatbot offers an extension that links your Gmail account with other Google Workspace services, including Google Docs and Sheets. With this tool activated, you can ask tasks like “Summarize the unread emails I’ve received since the beginning of the week” or “Find the email with the card bill receipt.”
Gemini can search your Gmail inbox, pull up specific results, and even create shortcuts to help you quickly find the original messages in your email client. Best of all, this feature is available for free.
Follow these steps to activate the extension on mobile or pc:
- Access the Gemini;
- Tap the profile photo (mobile) or open the “Settings” section on the side menu (computer);
- Select “Extensions”;
- Activate the Google Workspace option.
2. Create and export data with data
The Gemini chatbot can also create tables and lists using your email data. To access this feature, you’ll need to activate the Gmail extension, and the functionality is free.
To use it, start a conversation with Gemini and ask the AI to organize specific data in a table format—just be sure to mention which items should go in each column. Once the table is created, you can even export the result to a spreadsheet app for further use.
3. Create email drafts with extensions
Gmail also supports third-party extensions that can help create email drafts with AI assistance. Two popular examples are AI Email Writer and GPT for Gmail.
After opening the extension from the side panel, you can choose the email you want to reply to and provide instructions on how you’d like the AI to craft the response. Once the draft is created, you can simply copy it and make any necessary adjustments before sending.
It’s important to note that some of these tools have a monthly limit for free drafts. Here’s how to find and install these extensions:
- Open Gmail on the computer;
- Click on the “+” icon on the right corner panel;
- Search for extensions with AI at Workspace Marketplace;
- Press “Install” and confirm.
4. Create email drafts with Gemini
You can also rely on Gemini to help write personalized email responses, but this feature is exclusive to the paid Gemini Advanced service.
One of the key advantages of Gemini is its ability to understand the context of conversations, search files in your Drive, and be accessed directly through the side panel in Gmail, meaning you don’t need to download any additional extensions. Here’s how to use it:
- Click on the Gemini icon in Gmail;
- Open the side panel;
- Send text commands to Gemini.
5. Analyze Received Files
The Gemini side panel is also a great option for those who frequently receive emails with multiple attachments. You can ask Gemini to find all messages with attachments, download the documents, and even have the AI analyze the files. Sometimes, you may need to open Gemini in a separate window and send the material for analysis.
Gemini can analyze various types of files, including text documents, spreadsheets, presentations, tabular data, and programming files.
Additionally, it’s worth noting that other AI services, such as ChatGPT and Meta AI, can also be used to help compose email marketing drafts. Here are some command tips to get you started!
